Reservation Agreement & Policies


A non-refundable, $300 payment is required on a credit card at the time of booking your reservation. Full and final payment of your rent, taxes and all applicable fees must be received in our office 45 days prior to arrival for 1-5 bedrooms, 90 days prior to arrival for 6-10 bedrooms or 180 days for 11+ bedrooms. Any bookings made within 45, 90 or 180 days respectively require full payment with a credit card at the time of booking. Acceptable payment methods include check, money order, Visa, MasterCard, or Discover. Please be sure to write the reservation number on the check for proper credit. Applicable specials or discounts will be applied at the time the reservation is confirmed by a reservation specialist. You will be charged for the unit you have selected based on the information in your rental agreement and the Policies and Procedures document published on our website. All advance prepaid rents are placed into an escrow account for Cabin Fever Vacations. Pursuant to TCA 62-13-104, Section 7 (D)(i), this may or may not be an interest bearing account. Interest accrues to the Agent. Send your payment to Cabin Fever Vacations, P.O. Box 110, Gatlinburg, TN 37738-0110. Policies and rates are set at time of booking. Any refunds to credit or debit cards can take up to 10 days to process by issuing bank.

Check In and Check Out

Check-in begins at 3:00pm and is only allowed for guests with a signed rental agreement. You will be sent an invitation to download our App which will give you directions to the cabin. On the day of arrival, you will be given door (and if applicable alarm) codes to get in unless your property has keys. If your property has keys, then you must check-in at the Cabin Fever office. We only have 5 hours to clean between departure and arrival time and we never want to compromise cleaning quality; therefore it is possible your check-in may be delayed during busy time periods. If you arrive early, you may have to wait to check-in if your property is not ready; however if your property is cleaned and inspected we will check you in. 

Occupancy and Housekeeping

Please limit occupancy to the cabin maximum and adhere to pet and smoking preferences of the cabin (ALL CABINS ARE NON-SMOKING UNITS). You must be an adult (25 or over) to rent a cabin on our program. In the event of damages or extra cleaning requirements, additional charges may be applied to the card on file. Linens and towels are provided based on the size of the cabin reserved, along with basic kitchenware and utensils. A starter supply only of soap, dishwashing detergent, toilet paper, trash bags, and paper towels will be provided. Upon arrival, please report any damages, shortage of supplies, or housekeeping issues immediately. Please review the cabin binder and abide by hot tub procedures, rules, and precautions.

Occupancy and Amenities

We will do everything we can to make sure your cabin is ready for your stay. It is our mission to provide you the cleanest cabin in the Smokies, so that you will become a guest for a lifetime. As mentioned above, due to our high standards for cleanliness, there is a chance that not all units will be ready for check-in promptly at 3 pm, especially during peak and holiday season. We ask for your patience and suggest that you have alternate plans for a couple of hours in case your unit is not ready. There is also a possibility on the day of check-in the hot tub may not be completely warm and ready for use until that evening, due to the cleaning process between guest. In addition, from time to time, appliances, hot tubs, satellite TV, water, telephone, internet access, electricity, etc. will break down or malfunction. While we cannot refund any monies due to these issues that may be beyond our control, we will respond as quickly as we can to make repairs and restore amenities. Because all cabins are individually owned, the amenities are subject to change at any time, without prior notification. Depending on the circumstance, a move to a similar property may be necessary. Cabin Fever assumes no liability for personal items brought into the cabin that are lost, stolen, or damaged. On rare occasions, cabin investment properties are sold and management responsibilities transferred. Under these and similar circumstances, reservations may be moved to a similar property, if available. Gas fireplaces are seasonal amenities and may not be available for use during the summer.

Inclement Weather Policy

Please be aware of the possible weather and road conditions you may encounter, depending on what time of year you are traveling, as we do not offer refunds due to weather or early departure. From late November through early April the weather in the Smoky Mountains can be very unpredictable. To assist you in planning, there is a link on our Weather Page which will give you the current weather and temperature for Pigeon Forge, Gatlinburg & The Great Smoky Mountains National Park. This page will also provide phone numbers for weather related road conditions and or closures.

Pet-Friendly Policy

Some of our rental units allow for pets. Please keep in mind each rental unit is an individually owned investment property, so please be courteous and treat the unit as you would your own, and make sure your pets do as well. It is expected that you crate your pet during periods when you are not present at the property. This helps to minimize the potential for pet damage. In the event our staff needs to service your cabin, it will also protect and ensure the safety of your pet as well as our staff. There is a $80 pet fee per animal staying in the rental unit.

Minimum Stays

Some seasons will have minimum night requirements depending on availability. Exceptions will be made if nights rented fall between two other reservations and the minimum is not possible. An additional housekeeping fee may be added for reservations with two or less paid nights. Amounts vary depending on the size of the cabin. This type of reservation cannot be booked online, it must be booked by calling our office.


A non-refundable, $300 payment with a major credit card (Visa, Mastercard, Discover, American Express) is required to confirm a reservation. Sorry, but no personal or business checks accepted unless received at least 45 days prior to your scheduled date of arrival. Church checks are permitted with approval and tax ID information.

Non-Refundable Damage Waiver

In lieu of a normal security deposit, Cabin Fever Vacations will apply a damage waiver fee to each reservation based on the size of the cabin. The damage waiver fee covers up to $1,500 in ACCIDENTAL damages to kitchenware and small household items (broken coffee pot, broken lamp, broken shower curtain ring, etc.). This fee does not cover intentional or reckless damage, or any damage to furniture and electronics (damaged television, broken VCR/DVD, broken bed frame, broken sleeper sofa, etc.). For damages beyond $1500 and/or all intentional or reckless damages, Cabin Fever will charge the credit card of the Responsible Party on file. The guest whose credit card is used for the reservation deposit is considered the Responsible Party, and all necessary charges concerning said cabin will be charged to the credit card on file, no matter who in the group caused the damage. Guest also authorizes agent to charge any expenses relating to cleaning of the unit beyond a normal cabin clean (heavy partying, trash, etc.), or theft of any property from the unit, to the Responsible Party’s credit card.


In addition to your rental charge, all reservations will be charged a processing fee and applicable taxes. This fee covers the cost of processing the booking and performing the pre-arrival inspection where we check the property for maintenance problems and verify the cabin is ready for guest arrival. A cleaning fee will also be added to each booking based on the size of the cabin reserved. If reserving a cabin with a private swimming pool, a pool fee will be added to the reservation, to help with cost associated in maintaining a private swimming pool. Pets are only permitted in pet friendly properties. If you are bringing a pet, a pet fee, for each pet, will be added to the reservation.
